An SEO report should help the business decide what to keep, change or stop. A dashboard can show movement, but it does not explain whether the work went live, whether the searches matter or whether an analytics event became a qualified customer enquiry.

Useful reporting keeps sources and definitions visible. Search Console clicks are not the same measure as GA4 sessions. Average position is not a fixed rank. A submitted form event is not proof of lead quality until the business reviews it.

Use this guide and the downloadable CSV to create a repeatable monthly review. Record the evidence, state the limitations and assign each next action to an owner with a due date.

Decide what the report must help the business decide

Start with the commercial outcome and the decision due at the review. A useful question might be whether to expand a service cluster, improve a high-impression landing page, resolve a technical constraint or continue an authority campaign. A report built around every available metric can hide that decision.

Agree on what counts as a qualified outcome with the people who handle customers. For one business it may be an enquiry for a priority service in a genuine service area. For another it may be a completed purchase, a booked appointment or a sales-qualified opportunity. Document exclusions such as spam, duplicate submissions and unsuitable services.

  • Name the business outcome the SEO work should support.
  • Define the services, products, locations and customer types that qualify.
  • State the primary decision the review needs to make.
  • Identify who can confirm lead quality or revenue outside analytics.
  • Record capacity limits that could change the next priority.
  • Keep awareness metrics separate from commercial outcomes.

Lock the dates, sources, definitions and comparison method

Record the reporting period, comparison period, property, filters, timezone and extraction date. Use equal ranges where practical and explain seasonality, a partial month, a launch, an outage or another event that makes a direct comparison weak. Standard Search Console dates use Pacific Time, while GA4 can use the property's reporting timezone. An Australian report should check both cut-offs before treating the same displayed dates as identical periods.

Search Console notes that its newest data can be preliminary. Query rows can also be omitted for privacy and other limits, so visible rows may not add to the property total. Save the report configuration instead of copying numbers into a slide without their context.

Reporting period

Use exact start and end dates and note whether both periods contain complete days in the same business and search conditions.

Source and property

Name the Search Console property, GA4 property, CRM view, rank source or backlink index used for each measure.

Filters and segments

Record country, device, search type, channel, landing page, query group, service area and exclusions where relevant.

Extraction date

State when the data was collected so preliminary or backfilled values can be understood later.

Report visibility by valuable query and page groups

Use Search Console to group the queries and pages connected to the agreed market. Report impressions, clicks, CTR and average position together. Google defines average position as the average topmost position for the relevant property or row, not the exact rank every person sees.

Do not add property, page and query totals together. Search Console counts and aggregates these views differently. Use property totals for broad direction, then use page and query groups to understand where the movement occurred.

Position bands can make an early authority program easier to interpret. For example, record how many qualified impressions came from positions 1 to 3, 4 to 10, 11 to 20, 21 to 50, 51 to 80 and 81 to 100. Keep the underlying page and query rows so the band does not become a score without context.

Qualified impressions

Visibility for relevant non-brand and brand themes, separated when their intent and expected CTR differ.

Page ownership

The intended landing page for each query theme, including competing pages that may need consolidation or clearer internal links.

Position distribution

Movement between useful ranking bands rather than one sitewide average presented as a fixed rank.

CTR context

Clicks divided by impressions, interpreted beside position, intent, device, search type and result appearance.

Connect organic landing pages with configured key events

The GA4 Landing page report uses the first page view in a session as the landing page dimension. Review organic sessions, engagement and configured key events by relevant landing page. Confirm the channel and page definitions rather than assuming every visit to a page came from organic search.

Keep Search Console clicks and GA4 sessions separate. They use different collection and attribution systems, and their reporting dates can use different timezones. They can disagree without either system being broken. Explain each source on its own terms instead of forcing the totals to reconcile.

A key event is an event the organisation has marked as important. Confirm when it was configured, which parameters it carries and whether it can fire more than once for one business action. Tracking should be tested after form, consent, route or platform changes.

  • Organic landing page sessions use a documented GA4 channel or segment.
  • The report names the key event and the date its configuration became reliable.
  • Test submissions confirm the event fires once with the expected page and form context.
  • Landing pages are grouped by commercial intent rather than mixed into one traffic total.
  • Search Console and GA4 measures stay in separate rows with their own definitions.
  • Tracking limitations are visible beside the affected conclusion.

Verify enquiry quality outside analytics

Analytics can record that an action happened, but the business usually knows whether the enquiry was genuine, suitable and commercially useful. Add a simple review from the CRM, inbox, call system or sales team. Use a consistent qualification definition and protect personal information in shared reports.

Separate total actions from qualified outcomes. If lead quality falls while event volume rises, the next decision may involve page intent, offer clarity, location targeting or spam controls rather than more traffic.

Service fit

The enquiry relates to a priority service or product the business genuinely wants to deliver.

Location fit

The customer is in a real service area or can be served through the intended delivery model.

Contact quality

The action contains enough genuine information for the business to respond and is not spam or a duplicate.

Sales progression

Where the process allows it, record whether the lead became an appointment, quote, opportunity or sale without exposing personal data.

Keep a dated implementation and change log

Report what actually became available to users, not only what appeared on a task list. Link to the live page or verifiable change, record the release date and state how it was checked. Separate research, draft, approved and live statuses.

The change log helps interpret later movement without claiming that one action caused it. It also shows whether a weak result reflects a poor idea, delayed implementation, an incomplete release or too little observation time.

  • Every completed item links to a live URL, deployment record or retained evidence.
  • The status distinguishes planned, in progress, awaiting approval, live and verified.
  • The log records who completed and who approved the work.
  • Technical changes include an acceptance check and correction path.
  • Content changes state the page purpose and query ownership they support.
  • Authority work records the source, destination, relevance and placement status.

Separate evidence, observation, limitation and decision

Write each finding in four parts. Evidence states the dated measurement or completed change. Observation describes the pattern. Limitation states what the evidence cannot establish. Decision assigns the next action and the condition that would change it.

This structure reduces unsupported causal claims. Search visibility can move after a page update, but the report should not claim that the update alone caused the movement when competition, demand, indexing, links or search systems may also have changed.

Evidence

From 1 to 31 July, the priority page group recorded the stated Search Console and GA4 values under the named filters.

Observation

Qualified impressions moved from lower position bands into positions 21 to 50 while organic landing sessions remained broadly stable.

Limitation

The period is short, some query rows may be omitted and no controlled test isolates one cause.

Decision

Keep the page owner and expand relevant internal links, then review the same query and page group after the agreed interval.

Complete the monthly SEO reporting template

Download the CSV and keep one row for each metric, evidence item or decision. The structure includes reporting and comparison periods, category, metric, segment or page, source, extraction date, baseline, current value, change, observation, limitation, decision, owner and due date.

Do not fill every row merely because it exists. Keep the rows that answer the review question and add a new row when a material issue needs its own owner. Link to detailed exports or evidence rather than turning the summary into an unreadable data dump.

One definition per row

Avoid combining Search Console visibility, GA4 behaviour and verified lead quality into one unexplained percentage.

One useful segment

Name the query group, landing page, service, product, location or workstream that gives the value commercial meaning.

One visible limitation

Record privacy omissions, tracking gaps, configuration dates, seasonality, incomplete periods or small samples beside the result.

One owned decision

State the next action, owner, due date, verification method and evidence that would cause the team to reconsider.

Run a quality check before the report is shared

Review the report with the people who own analytics, delivery and customer outcomes. Check that periods and filters match, source links work, work marked complete is live and the business agrees with the qualification result.

Remove personal information and access details that recipients do not need. Keep client-level evidence private unless there is clear permission to publish it. The final report should leave the reader with a small number of supported decisions, not a larger number of charts.

  • Dates, timezones, properties, filters and extraction dates are visible.
  • Property, page and query totals are not added together or compared as if aggregated identically.
  • Search Console clicks and GA4 sessions remain distinct measures.
  • Key event configuration and lead qualification limitations are stated.
  • Completed work is live, linked and verified.
  • Every next action has an owner, due date and review condition.
  • The report contains no unnecessary personal, account or commercially sensitive information.
  • Claims match the evidence and avoid guarantees or unsupported causation.
